Set up your organization
As an owner, configure your datasets, users, skills, subscription, and usage.
This page is intended for the owner of the organization. If you are a member, you can skip this and go directly to Connect Power BI.
Invite users
Invite colleagues so they can also query Power BI data.
- Go to Organization settings > Users.
- Click Invite member and enter the email address of your colleague.
- Your colleague receives an invitation email and can immediately get started after accepting.
Each team member counts as a user within your subscription. After inviting, you must also assign the team member to datasets (see below).
Add datasets
The owner decides which Power BI datasets are available to the organization.
- Go to Organization settings > Datasets.
- Click Add dataset.
- Choose the workspace that contains your dataset.
- Select the dataset you want to add.
- Power BI Agent automatically checks whether the dataset uses a recognized data model (such as an RGS chart of accounts). If a template is recognized, advanced analyses become available automatically.
- Give the dataset a recognizable name.
- Optionally: assign users and skills right away.
- Click Save to add the dataset.
You can add datasets from multiple Power BI workspaces. Repeat the steps above for each workspace.
Assign users to datasets
Not everyone in your organization needs access to every dataset. The owner decides which users can query which datasets.
- Go to Organization settings > Datasets.
- Click the menu on a dataset and choose Users.
- Select the users who should have access.
- Click Save.
Users only see the datasets they are assigned to. They must also have a connected Power BI account with access to the dataset.
Assign skills to datasets
Skills are analysis modules that enable advanced calculations (see Analyses & Insights). The owner decides which skills are available per dataset.
- Go to Organization settings > Datasets.
- Click the menu on a dataset and choose Skills.
- Select the desired skills.
- Click Save.
Create custom skills
Depending on your subscription, you can also create custom skills with analyses specific to your organization or industry.
- Go to Organization settings > Skills.
- Click Add skill.
- Define the skill with a name, domain, category, and the corresponding DAX formulas.
- Assign the skill to one or more datasets via Organization settings > Datasets.
Activate or deactivate a dataset
You can temporarily deactivate datasets without deleting them. Deactivated datasets are not available for analysis via Claude or Copilot.
Set up Copilot
The organization owner can connect Power BI Agent as a declarative agent in Microsoft 365 Copilot.
- Go to Organization settings > Copilot.
- Generate a Client ID and Client Secret.
- Share the credentials with your IT admin, who registers the agent in the Teams Developer Portal.
- Follow the remaining steps to complete the setup.

Usage
View how many analyses have been performed within your organization.
- Go to Organization settings > Usage.
- View the total usage of the organization and usage per user.
Usage is tracked per billing period and depends on your subscription.
Subscription & billing
Power BI Agent offers several plans, from a free tier to premium plans with more features and capacity.
Manage your subscription
- Go to Organization settings > Billing.
- Here you can view your current plan, upgrade or downgrade, and manage payment methods.
Per-user billing
Billing is per user. Each team member within your organization counts as a separate user. You can add or remove users at any time.
Cancel subscription
You can cancel your subscription at any time from the billing settings. After cancellation, you retain access until the end of your current billing period.
