No more checking the numbers yourself every Monday. Workflows do it for you: they analyse your Power BI data at set times and send the outcome with an explanation by email or Teams. Every time, or only when something needs attention.
In this video we build a workflow that watches customer churn: every month an email with the customers who stopped buying last month, and which of them need immediate follow-up.
How a workflow works
Moment
Start with one click, or automatically: daily, weekly or monthly, at the time you choose.
Data
A query on your Power BI dataset. Write it yourself, or describe in plain language which data you need.
Analysis
The AI analyses the figures, reviews its own outcome or, as an agent, investigates further on its own.
Send
By email or to Teams. Always, or only when something is off, and if needed after approval by a colleague.
Report or alert
Regular report
Every Monday last week’s revenue, at the start of the month the margins by product group. The workflow retrieves the figures, puts them in an overview and explains what stands out. The report is ready in your mailbox or in Teams, without anyone having to make it. That way everyone starts the week with the same numbers.
Alert
A message only when it matters. The workflow checks your figures at set times, but only reports when something falls outside the norm: cash drops below the buffer, revenue falls behind budget or a regular customer orders less. You then get the cause right away, with a suggestion for what you can do.
What can you automate?
- Weekly revenue watch by product group
- Cash flow forecast with expected shortfalls
- Customers who pay later than usual
- Customer churn: customers ordering less than last year
Frequently asked questions
Which subscription includes workflows?
Workflows are included in the Plus subscription and in the free 14-day trial.
Do I need to know DAX?
No. You describe in plain language which data you need and the AI writes the query. If you know DAX, you can also write the query yourself.
Can a colleague approve a message first?
Yes. With the Approval step, the workflow waits until a colleague approves or rejects. Only then is the message sent.
Who can I send the outcome to?
By email to one or more recipients, or to a channel in Microsoft Teams.
Can I share a workflow with a colleague?
Yes. You export a workflow as a file and import it for a colleague or in another organisation. Settings that belong to an environment, such as the dataset, the approver, email addresses and the Teams webhook, are filled in during import.
Can I see what a workflow has done?
Yes. Every run is stored, with the result and the status of each step. While building, you start the workflow with one click and see the result straight away.
